Client FAQs

What tools does HeimLantz use to share and sign documents?

We use two secure platforms: SafeSend Returns for delivering and signing your completed tax return, and TaxCaddy for gathering and sharing tax documents year-round. Both are protected with bank-level encryption to keep your information secure.

How do I know whether to use SafeSend or TaxCaddy?

Think of it this way: TaxCaddy is used at the beginning of the process (to send documents to us), and SafeSend is used at the end (to review and sign your return). If you’re unsure, check the instructions from your advisor or contact us for clarification.

I can’t log in to my client portal. What should I do?

If you’ve forgotten your password, use the “Forgot Password” link on the login page. Make sure you’re using the correct link sent by HeimLantz. If you still can’t log in, email or call our office, and we’ll get you connected.

What if I never received my SafeSend or TaxCaddy invitation email?

First, check your Spam/Junk folder. SafeSend emails come from noreply@safesendreturns.com. TaxCaddy emails come from noreply@taxcaddy.com. If you still don’t see it, contact Noreen Haenn at Noreen.Haenn@heimlantz.com, and we’ll resend the invitation.

Can I add my spouse or financial advisor to my account?

Yes. Both SafeSend and TaxCaddy allow you to add additional users for joint returns or shared access. Let your HeimLantz advisor know, and we’ll help set this up.

Is it safe to enter my Social Security number online?

Yes. Both platforms meet IRS security standards and use multi-factor authentication to protect your data. Your personal information is encrypted and never shared outside of the secure system.

How do I upload documents securely?

Use your TaxCaddy account to upload forms like W-2s, 1099s, or brokerage statements. Do not send documents by email unless specifically instructed. If you prefer, you can also deliver hard copies directly to one of our offices.

What happens if I get an IRS or state tax notice?

Forward the notice to us immediately—either by uploading it through TaxCaddy or emailing your HeimLantz advisor. We’ll review the notice and provide guidance on the next steps.

How do I schedule a meeting with my advisor?

Reach out directly by phone or email, or request a time through the scheduling link your advisor provides. If you’re not sure who to contact, call our main office and we’ll connect you.

Who should I contact if I need support?
